Please read these terms carefully before booking any Mindora Ceylon wellness or medical tour service

Booking Policy Cancellation Rules Governing Law

Effective date: January 2025

1. Acceptance of Terms

By making a booking with Mindora Ceylon Inbound Travel and Recreation (Pvt) Ltd ("Mindora Ceylon", "we", "our"), you confirm that you have read, understood, and agree to be bound by these Terms and Conditions. If you are booking on behalf of a group, you confirm that each member has also accepted these terms. These terms apply to all wellness, medical, elderly care, cultural, and special interest tourism services provided by Mindora Ceylon.

2. Booking & Confirmation

A booking is confirmed only upon receipt of the required deposit and a written confirmation from Mindora Ceylon. We reserve the right to decline any booking at our discretion. All bookings are subject to availability at the time of confirmation. Wellness and medical tourism itineraries require a consultation with our team before final confirmation.

  • A non-refundable deposit of 20% of the total tour cost is required to secure your booking.
  • Full payment is due no later than 30 days before the tour start date.
  • For bookings made within 30 days of departure, full payment is required immediately.
  • Confirmation documents, wellness itinerary, and pre-arrival information will be sent to the email address provided at booking.
  • Medical and special needs information must be provided accurately and completely at the time of booking.

3. Payments & Pricing

All prices are quoted in United States Dollars (USD) unless otherwise stated. Mindora Ceylon reserves the right to adjust prices prior to full payment in the event of significant currency fluctuations, government-imposed taxes, or fuel surcharge changes.

  • Accepted payment methods: bank transfer, major credit/debit cards, and secure online payment gateways.
  • Bank charges and currency conversion fees are the responsibility of the traveller.
  • Quoted prices include services listed in the itinerary only; personal expenses, optional excursions, and medical facility fees are excluded unless specifically noted.
  • Gem purchases during heritage tours are personal transactions between guests and certified vendors — Mindora Ceylon does not bear responsibility for gem valuations or purchases.

4. Cancellations & Refunds

Cancellation requests must be submitted in writing to info@mindoraceylon.com. The following cancellation schedule applies:

  • More than 60 days before departure: Full refund of payments made, less the non-refundable deposit.
  • 31 – 60 days before departure: 50% refund of the total tour cost.
  • 15 – 30 days before departure: 25% refund of the total tour cost.
  • 14 days or fewer before departure: No refund applicable.
Important: We strongly recommend purchasing comprehensive travel insurance that covers cancellation for any reason, including medical emergencies. Mindora Ceylon is not liable for losses arising from unforeseen personal circumstances. Given the medical and wellness nature of our services, health-related travel insurance is particularly advised.

5. Changes to Bookings

Requests to change a confirmed booking — including dates, itinerary, accommodation, or wellness programme elements — must be made in writing. We will endeavour to accommodate changes, subject to availability and any applicable amendment fees. Mindora Ceylon reserves the right to modify or substitute itinerary elements where necessary due to operational, safety, weather-related, or medical reasons, always maintaining equivalent quality and therapeutic value.

6. Liability & Insurance

Mindora Ceylon acts as an organiser and coordinator for the services provided. Our liability is limited to direct losses caused by our proven negligence and shall not exceed the total tour cost paid. We are not liable for:

  • Losses due to events beyond our reasonable control (see Force Majeure clause).
  • Personal injury, illness, death, or property loss not caused by Mindora Ceylon's negligence.
  • Third-party service failures — airlines, hotels, hospitals, or transport providers.
  • Medical outcomes arising from individual guest health conditions pre-existing at the time of booking.
  • Costs arising from failure to hold adequate travel and medical insurance.

Comprehensive travel insurance — covering health, medical evacuation, accident, cancellation, and baggage — is a mandatory requirement for all travellers booking with Mindora Ceylon. Medical tourism and elderly care guests must additionally hold valid health insurance accepted in Sri Lanka.

7. Traveller Conduct

Mindora Ceylon expects all travellers to respect Sri Lanka's natural wellness landscapes, cultural heritage, local communities, and fellow tour participants. Our wellness and medical tourism programmes are designed to support healing — an environment of mutual respect is essential. We reserve the right to remove a traveller from a tour without refund if their behaviour:

  • Endangers the safety or wellbeing of others, themselves, or our guide team.
  • Damages property, natural environments, or cultural heritage sites.
  • Violates Sri Lankan laws, cultural norms, or religious site protocols.
  • Disrupts the therapeutic experience of other wellness tour participants.
  • Is deemed incompatible with the wellbeing-centred nature of Mindora Ceylon programmes.

8. Force Majeure

Neither party shall be held liable for failure to perform any obligation under these terms where such failure results from circumstances beyond reasonable control, including but not limited to: natural disasters, government actions, civil unrest, pandemics, strikes, medical emergencies affecting the guide team, or severe weather events. In such circumstances, Mindora Ceylon will provide a credit note or alternative tour dates wherever possible.

9. Intellectual Property

All content on the Mindora Ceylon website — including wellness itinerary designs, psychology-informed programme frameworks, photography, text, and branding — is the intellectual property of Mindora Ceylon Inbound Travel and Recreation (Pvt) Ltd and its founders. Reproduction, adaptation, or commercial use without prior written consent is strictly prohibited. This includes our therapeutic itinerary methodologies developed under Mrs. Sandamali's clinical expertise.

10. Governing Law & Disputes

These Terms and Conditions are governed by the laws of the Democratic Socialist Republic of Sri Lanka. Any dispute arising out of or in connection with these terms shall first be referred to good-faith mediation. If unresolved, disputes shall be subject to the exclusive jurisdiction of the courts of Colombo, Sri Lanka.
